Attention - New Instructions for booking Cheng-Kung Auditorium(2024.10.25)

This information is provided for NCKU recognized student organizations and student clubs that want to book Cheng-Kung Auditorium, specific for the events that are held between Jan. 1st 2025 and May. 31st 2025.

HOW TO BOOK CHENG-KUNG Auditorium

  1. Plan an event.
  2. Write down detail descriptions of your event, including the information below:

Check-List

Description

Name the event

Come up with a nice name you like.

Choose the date

Be sure to have both date (dd/mm/yyyy) and starting and ending time (--:--) written clearly. Notice: please choose between Apr. 1st 2025 and Sep. 30th 2025.

Venue

Where the event will be held. (In this case, it should only be Cheng-Kung Auditorium, unless you’re using more than one venue at the same time.)

People in Charge

Who / What organization is in charge of this event?

Participants

Who will be joining this event?

Description

Things like:

  1. Why you want to have this event?
  2. What kind of goal would you like to achieve in this event?
  3. How will the event be designed?
  4. How many people are expected to come?
  5. How’s the division of labor arranged?
  6. Why is it necessary to use the Cheng-Kung Auditorium?

The estimated  appropriation form of the event

The estimated form of your income (ex. Fund raise, subsidies from companies or school etc.) and expenditure (ex. How much would you spend on food, traffic, posters etc.).

  1. Download the NEW APPLICATION FORM of Cheng-Kung Auditorium (see the attachment below) and fill in the form.
  1. Don’t forget to include Photos and Number of Participants from your past events
  2. In the part 活動內容及特色說明 of the application form, you MUST include detailed description of your event, such as topic introduction, performance planning, program execution, plot outline, etc.
  1. Prepare the following materials:
  1. Hard copy – New application form of Cheng-Kung Auditorium *5 ; Description of your event *5
  2. Digital copy – New application form of Cheng-Kung Auditorium*1 ; Description of your event *1
  3. Photos / Videos / The number of participants before ( only when this is a repeated event )
  1. Submit the materials to: (Before Dec. 13th 2024)
  1. Hard copy – take them to Student Development and Activities Division(S.D.A.D) and give them to the staff
  2. Digital copy – email them to the staff of S.D.A.D. who’s responsible for the category that your organization belongs.
  3. Photos/ Videos / The numbers of participants before – attach them in the email with the digital copies
  1. Be sure to submit the materials before Dec. 13th 2024.
  2. After submitting the materials, go to the Administrative System: https://goo.gl/QqUudB and register your event.

WHAT’S GOING TO HAPPEN AFTER SUBMITTING THE APPLICATION

  1. After all is done, S.D.A.D staff will take all the materials to the Committee of Performative Events of Cheng-Kung Auditorium for Review Conference in May 2024.
  2. The Committee will discuss and decide which event will be approved.
  3. After the events are approved, they will be send to the Committee of Appropriation, which will continue to decide if the events could receive the subsidies for venues from school.

THINGS TO BE AWARE OF AFTER VENUE IS BOOKED SUCCESSFULLY

  1. If you are using Cheng-Kung Auditorium, you’ll need to conduct a survey for your event. The results will be using for improving the standards of examinations in Review Conference.
  2. The survey could be in hard copy or online.
  3. The result of the survey should be submit to Art Center no later than 2 days after the event.
  4. The survey should include the information below:
